01

Stabilize and document

Address urgent health and safety needs. Record the exact place, time, people, organizations, report information, and what remains uncertain without guessing about responsibility or diagnosis.

  • Emergency and follow-up care information
  • Exact location and event chronology
  • Report number and witness details
02

Preserve the source record

Keep original files and metadata. Preserve carrier and vehicle identifiers, scene material, inspection and maintenance information, cargo and dispatch clues, medical records, and every insurance contact.

  • Original photographs, video, and messages
  • Reports, receipts, and correspondence
  • A dated index of records requested and received
03

Identify parties and record holders

List every person, business, public body, property controller, employer, contractor, insurer, medical provider, and device or camera owner that could hold relevant information.

  • Correct legal names and roles
  • Who controlled the place, activity, vehicle, or equipment
  • Potentially short-lived video or electronic data
04

Prepare questions for counsel

Ask which entities and regulations are relevant, what electronic or operational data may exist, and whether an appropriate preservation request is time-sensitive.

  • Which jurisdiction, rules, and deadlines apply?
  • What should be preserved or requested now?
  • How will licensing, experience, staffing, communication, fees, and expenses be verified?
